Job Title: Finance Coordinator
Reports to: Executive Director
Background: Family Promise Metrowest (FPM) is a regional not for profit organization that offers a community response to families with children who are facing homelessness by providing shelter, transitional living, and homelessness prevention and shelter diversion support. Role: Collaborate with Executive Director and leadership team to develop, maintain, reconcile and track all financial data for the Family Promise Metrowest organization. Ensure the accuracy and timeliness of all financial reporting requirements to the Executive Director and the Board of Directors.
Responsibilities:
Financial Recordkeeping:
- Maintain accurate and up-to-date records of all financial transactions using accounting
- Record all financial transactions, including donations, grants, expenditures, and payroll.
Accounts Payable and Receivable:
- Process invoices and ensure timely payment of bills.
- Track and reconcile accounts receivable, including donations and grants.
Bank Reconciliations:
- Perform regular bank reconciliations to ensure accuracy of financial records.
Financial Reporting:
- Prepare monthly, quarterly, and annual financial statements and reports.
- Assist in the preparation of budgets and financial forecasts.
Compliance and Auditing:
- Ensure compliance with relevant laws and regulations, including IRS requirements for non-profits.
- Liaison for audit and state reporting.
- Assist with annual audits and prepare necessary documentation.
Payroll Processing:
- Process payroll and ensure compliance with all applicable regulations.
- Maintain accurate payroll records and manage employee benefits administration.
Database Management:
- Work with the Development team to enter and track all FPM monetary donations in the CRM system. Help reconcile and prepare reports as needed.
Grant Management:
- Track and report on grant expenditures and ensure funds are used in accordance with grant agreements.
Internal Controls:
- Serve as point person and subject matter expert in all financial systems, including Quickbooks, TriNet Payroll, and BB NxT.
- Train and provide oversight to the Operations Assistant in bookkeeper support functions.
- Develop and implement internal controls to safeguard the organization’s financial resources.
- Monitor and improve financial procedures and policies.
Competencies and Requirements:
All candidates will be evaluated on a merit basis. Required knowledge/education, experience, skills, and abilities:
- Associates or Bachelor’s degree in accounting, finance, or related field preferred.
- Minimum of 3-5 years of bookkeeping experience, preferably in a non-profit organization.
- Proficiency in accounting software (e.g., QuickBooks, Sage) and MS Office Suite.
- Strong understanding of non-profit accounting principles and practices.
- Experience with accounts payable and receivable required.
- Superior attention to detail and accuracy
- Knowledge of payroll processing with TriNet/Zenefits and Empower a plus.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills. Tactful and diplomatic.
- Ability to work independently and as part of a team.
- A passion for the mission of FPM.
- Knowledge of IRS regulations and reporting requirements for non-profit organizations.
- Experience with grant tracking and reporting is a plus.
- Experience with Insurance and HR a plus.
